Legal Assistant (Full-time Permanent)

Legal Assistant for our client, a well respected personal litigation firm, midtown Toronto.

Job Type:  Full Time Permanent.
Compensation: $50,000 per annum plus benefits.
Regular Work Hours:  From 9 am to 5 pm including 1 hour lunch break, to be worked during regular business hours, Monday to Friday (35.0 work hours per week).
Ergonomic Requirements:  Position will require climbing up and down an internal staircase, and occasional standing and other ergonomic activities associated with filing, photocopying and documents collation, including occasional light lifting.
Work Location:  100% onsite at client's mid town Toronto office, on bus route, and approximately 10 minutes' walk from TTC station.  Employer-provided parking also available.

Responsibilities Summary:    
Career litigation legal assistant/legal secretary to support day-to-day law firm operations. Will open and maintain case files, manage and monitor lawyers' calendars, proofread and edit legal documents, schedule Examinations for Discovery, and assist and support lawyers for court proceedings.  Excellent opportunity for administrative professional who is looking for a long term, stable career as a legal assistant/ legal secretary within a litigation practice.
  • Establish and maintain client files in electronic format.
  • Monitor client files in order to keep them moving forward, and close as required.
  • Manage and monitor lawyers' calendars, including travel, meetings, teleconferences, court attendances, and tickler systems. 
  • Schedule Damages Assessments and Examinations for Discovery. Monitor and maintain Undertakings, Refusals and Under Advisements.
  • Proofread and edit legal documents, transcribe dictation and draft correspondence.
  • Assist and support lawyers and office manager for court proceedings and trial preparation.
  • Payment and billings administration.  
  • Clerical support including photocopying, scanning, and faxing.
  • Relief reception responsibilities as needed, including for lunch breaks, vacations, and personal days.
  • Additional legal assistant, secretarial and office administration responsibilities as required.
Qualifications:    
Education: Post Secondary Degree or Diploma in Legal Administration, Business Administration, or equivalent combination of education and work experience.
Preferred Work Experience:  Approximately 2+ years of experience as a legal secretary or assistant, supporting a litigation practice.
Preferred Sector Experience:  Personal injury or medical malpractice experience an asset.

Technical and Language Skills Requirements:    
  • Strong proficiency in MS Word, Outlook and Excel (will be tested).
  • Fast and accurate typing speed and attention to detail (will be tested).
  • Sound knowledge of Canadian litigation legal terminology (will be tested). 
  • Strong English communication skills, both written and verbal, including advanced level business writing skills, excellent spelling, grammar, proofreading and syntax, and polished, professional telephone manners.

  • Demonstrated successful experience of prioritizing work, making decisions and communicating with others within a values framework of respect, equity, anti-racism, diversity and inclusivity.
Additional Requirements:    
  • Must be legally entitled to work in Canada, providing satisfactory documentation upon request.
  • Ability to work 100% onsite, abiding by organization health and safety policies.
  • Ability to declare personal Non-Conflict of Interest in execution of assignment responsibilities.
  • Satisfactory Background Checks, Technical Skills Evaluations, and Employment References.
