We are seeking an Executive Assistant to play a key role assisting the Senior Manager, Business Immigration and Development in liaising with clients. The ideal candidate is someone who thrives on having challenging and rewarding work in a fast-paced environment, has a strong attention to detail, and excellent interpersonal skills.
The Executive Assistant will be reporting to the Senior Manager, Business Immigration and Development.
Responsibilities:
Lawyer / Client Support
- Attending to travel arrangements and ancillary arrangements including preparing itineraries and travel expense reports in accordance to preferences, in coordination with the Firm’s travel resources and in compliance with Firm and client travel policies. Reconciliation of credit card statements and receipts as may be required.
- Updating contact names and addresses in the client database on a regular basis.
- Coordinating client meetings, including scheduling rooms and arranging for needed catering or audio-visual equipment.
- Updating calendars, including meetings, appointments, due dates and client-related activities.
- Monitoring emails and incoming calls, assessing priorities, gathering relevant information, taking appropriate action and preparing response.
Support Duties
- Coordinating logistics of internal and external conferences, meetings and events (e.g., communication, location, meals, technical equipment, materials, RSVPs, and travel), with minimal to no guidance.
- Coordinating business development activities as needed to ensure efficient execution of client entertainment, client distribution lists, conference support, coordinating attendance at events, event planning.
- Drafting, revising and organizing a variety of practice management, business development and client related documents.
- Managing firm and client confidential information.
Skills and Qualifications:
- 3+ years previous administrative experience supporting Senior Executives.
- Ability to consistently produce high quality work within tight deadlines.
- Highly organized and detailed oriented.
- Accustomed to a fast-paced environment and constantly shifting priorities.
- Proactive, efficient, and always maintain a high degree of confidentiality.
- Proven ability to work in a team environment and provide excellent customer service to internal and external customers.
- Strong verbal and written English communication skills are a must.
- Knowledge of computer software: MS Word, Excel, and Powerpoint.
- College or University graduate.
