ABOUT THE ROLE:
The Marketing and Communications Coordinator is responsible for maintaining and exploiting existing relationships as well as tapping into new networks via marketing to build new relationships. The Marketing and Communications Coordinator is responsible for marketing materials (from conception to delivery), website maintenance, social media activity, market research, and taking the lead in organizing events to explore new business development opportunities as well as avenues for building and positioning the brand in the marketplace. This role reports to the Director, Marketing and Communications.
KEY DUTIES AND RESPONSIBILITIES:
Website and Social Media
- Update the Firm’s website on an on-going basis to ensure that the Firm is well represented and the website can be easily navigated by clients and visitors
- Ensure all content posted on the website is current, accurate and up-to-date
- Responsible for staying current on industry law and trends, and updating the website with such information
- Update the website with news, experience, and bulletins, as well as updating biographies on a regular basis
- Coordinate and execute Social Media strategy
- Prepare monthly SEO reports
Marketing Activities and Communication
- Email clients and contacts with legal, compliance and trend updates
- Coordinate holiday greetings to contacts and organize the delivery of gifts
- Work on various marketing and communications initiatives to optimize marketing reach and impact, and effectively build and position the brand
- Develop and maintain contact and client database
Marketing and Sales Materials
- Prepare formal Request for Proposals in response to prospective client requests
- Write and format proposals for new business opportunities
- Work with or on behalf of staff to write magazine articles and other publications
- Coordinate the production and distribution of marketing materials such as brochures, one-pagers and various other materials frequently requested by staff
Event Planning and Travel Coordination
- Plan and execute various types of events, seminars, webinars, CPD meetings, lunches, and speaking engagements within prescribed timelines and budgets
- Plan event logistics including booking the venue, coordinating seating arrangements, menu planning, and arranging for transportation
- Organize in-house meetings and events for professional development and create and extend invitations for events and tracking RSVP’s
- Maintain detailed records for events including expenses, attendance lists, and budgets
- Prepare a post-event summary allowing for a qualitative and quantitative analysis of how effective event was from a Business Development standpoint
- Coordinate and plan travel arrangements for Business Development purposes to various locations
- Schedule appointments for individuals on business travel
Memberships, Directories and Awards
- Seek out related membership opportunities and directories, and following up with applications and membership maintenance duties
- Identify prospective awards, tracking deadlines, and co-coordinating the application process
- Track and advertising awards and recognitions
- Ensure the company is listed in appropriate directories

Skills & Qualifications:
- Degree or diploma in Marketing, Communications, Business or a related field is required.
- Proficient in Canva for designing and formatting brochures, marketing materials, engaging visual content, creating videos, and updating website through WordPress.
- Strong skills in Microsoft Office Suite (Word, Excel, PowerPoint) to create, format, and manage documents, reports, presentations, and other professional materials.
- Experience with client intake processes or a Client Relationship Manager software (e.g., MS Dynamics, Salesforce, Clio, HubSpot).
- Exceptionally strong organizational and time management skills
- Able to deal with multiple priorities in a fast-paced environment
- Strong written communication skills (oral and written)
- Attention to detail and an eye for design and presentation
- Creative and enthusiastic individual
