As a Law Firm Administrator, you will play a crucial role in managing the operations and administrative functions of our law firm. You will be responsible for overseeing the day-to-day operations, ensuring smooth functioning of the office, and supporting the firm's lawyers and staff. Your strong organizational skills and attention to detail will help maintain the efficiency and effectiveness of the law firm.
Law Firm Administrator Responsibilities:
- Prepare and manage the firm's budget, handle accounts payable and receivable, track expenses, and ensure compliance with financial regulations.
- Coordinates, monitors, and improves key operating systems (internal policies, external policies, procedures, checklists, templates, examples, scripts, etc.) in direct and close consultation with the Partners.
- Ensures the firm’s business systems and processes are fully documented and followed
- Documents and monitors the flow of work from client intake to billing and collection, as well as takes corrective action as needed to resolve workflow issues.
- Manages financial system including time-tracking, billing, trust account management, collections, bookkeeping, expense management, and accounts payable.
- Establish and maintain organized filing systems for legal documents, correspondence, and administrative records. Ensure compliance with document retention and confidentiality policies.
- Stay updated with technology advancements and recommend, implement, and maintain appropriate software and systems to support the firm's operations.
- Liaise with vendors, such as IT service providers, office suppliers, and maintenance contractors, to ensure timely delivery of services and resolve any issues.
- Oversee and manage all aspects of the law firm's administrative functions, including office supplies, equipment, maintenance, and security.
- Stay abreast of legal regulations and requirements relevant to the law firm's operations. Implement and monitor compliance measures to mitigate risks.
Law Firm Administrator Required Skills
- Strong organizational and time management skills with the ability to prioritize tasks and meet deadlines.
- Excellent communication skills, both written and verbal, to effectively interact with internal and external stakeholders.
- Attention to detail and accuracy in all aspects of work, including financial management and data analysis.
- Proficiency in office productivity software, such as Microsoft Office Suite, and knowledge of legal practice management software. Experience using LEAP/PC Law would be an asset.
- Ability to maintain confidentiality and handle sensitive information with integrity.
- Problem-solving and decision-making skills to address operational challenges and propose effective solutions.
- Strong leadership skills to manage a team and work collaboratively with lawyers and staff.
- Flexibility and adaptability to multitask, handle a fast-paced work environment, and respond to changing priorities.
Required Qualifications:
- Bachelor's degree in business related field or comparable work experience.
- Previous experience in law firm administration or a similar role in a legal environment.
- Knowledge of legal principles, procedures, and terminology.
- Familiarity with financial management and accounting practices.
- Bookkeeping and account management (AR & AP) experience would be an asset.
- Strong understanding of technology systems and software relevant to law firm operations.
- Familiarity with legal ethics and professional responsibility guidelines.
