File Opening and Conflicts Clerk

We are currently looking for a File Opening and Conflicts Clerk to join our team!
Position Summary:
This is an immediate opening and will include some cash receipts responsibilities. The ideal candidate will have experience in a similar role, or a comparable background.
Reporting to the Team Lead, Client Accounting, the File Opening and Conflicts Clerks primary responsibility is to review and complete file openings for new matter and/or clients in a timely and accurate manner and will assist with conflicts search requests when required. This role is the primary backup to the Conflicts Clerk. The person in this role will be responsible for the final review of client and matter details, verifying that all required documentation has been completed correctly to determine all requirements have been met to open a new clients/ matters. The Clerk will also be responsible for the daily depositing and posting of general and Trust cheques in 3E. This is a hands-on position that will appeal to candidates who function well in a high volume, deadline-oriented environment.
The position is scheduled to work 9:00 am – 5:00 pm Monday to Friday (with flexibility), with occasional overtime to meet deadlines. This is an in-office role.
Duties and Responsibilities:
- Monitor Workflow Inbox for new clients and matter requests that require final review.
- Ensure accuracy and completeness in client and matter records and update information as needed.
- Open non-billable matters.
- Maintain all procedures related to file opening and conflicts to ensure compliance with LSO rules of Professional Conduct, Know Your Client (KYC) requirements and firm policies.
- Support and back-up the Conflicts Clerk: monitoring workflow inbox, running conflict searches, distributing reports and actioning conflicts search items as directed by lawyers.
- Daily deposit of general and Trust cheques (scanning) and posting the payments to the corresponding invoices or matters.
- Ad hoc reporting and projects as requested from time to time.
- Address general inquiries and other duties as assigned.
Qualifications:
- Post secondary education in Business or Accounting.
- 1-3 years’ related law firm experience with hands on experience in the areas noted above.
- Intermediate knowledge of Microsoft Outlook, Word and Excel, with willingness to learn new software and applications.
- Experience working with Elite 3E is an asset.
- Strong client service skills to build and maintain relationships.
- Ability to function in a high volume and fast paced environment.
- Strong communication skills (written and verbal) and focused listening abilities
